If successful, you’ll be part of a dynamic and passionate team in Somalia and Nairobi that works together to improve the health, nutrition, water, sanitation, hygiene, and basic education of Somali girls and boys and protect them from violence, exploitation and abuse.
The successful candidate will be offered a Fixed Term Appointment for one year. Further extensions will be based on organizational needs, availability of funds and satisfactory performance.
Purpose of the Post: Under the general supervision of the Logistics Officer, the incumbent will operate and maintain UniTrack Inventory Software for the CSZ, input data to record supply movement transactions and produce reports as required.
Major duties and responsibilities: · Ensure accurate input of data from ProMS (UNICEF System) into UniTrack in order to create pipeline status. Record and retrieve information related to supply/logistics including receiving documents and data for input, and complete the established input procedures. · Assist in maintaining accurate and up-to-date filing system for correspondence, reports, policy documents, and periodicals for supply & logistics related activities · Assist in ensuring delivery of supplies from the warehouses as per Issue Orders endorsed; (i.e. verify items ordered and quantities are correct, inspect repacking for safe delivery). Assist in ensuring timely assembly and issuance of orders. · Assist in updating of the inventory of Warehouse stock on a regular basis. Assist in Preparing required periodic inventory reports on logistics and movement of stocks for reporting to USSC. · Meet all flights arriving at the local airports, process duty free documents and clearance of the supplies from the ports including for supplies to other field locations within Somalia. Keep an accurate record of all air cargo and make flight bookings for the cargo where required. · Maintain the inventory database. Monitor expiry dates and dates on entry and advice on close-to-expiry goods. Compile inventory reports upon request. Provide goods status reports to concerned programmes and to the logistics unit. · Monitor the return of signed documents and close the delivery in UniTrack. · Prepare daily wages for the causal porters. · Produce official receipt documents and advise interested parties of supply receipts, both into the warehouse and by direct delivery. Issue waybills from the system for signature by the warehouse manager.
Qualifications, Experience and Attributes · Completion of secondary education. Further training in supply/logistics or administration or database management will be an advantage. · Three years of experience in general clerical work, logistics, operations or database management. · Excellent computer and record keeping skills with attention to details. · Good mathematical skills and ability to understand principles of database management. · Demonstrated capacity for self-organization. · Ability to identify potential problems before they occur. Use of initiative in response. · Good communication skills. · Demonstrated ability to work in a multi-cultural environment, and establish harmonious and effective working relationships both within and outside the organization.
